Privacy at a glance
Core team planning data is saved on your device. You do not need to create an account to use the core app.
The optional AI assistant sends audio and coaching information to connected services. Backups and exports can also move data off your device when you choose those features.
The app does not include advertising or third-party analytics SDKs.
1. Who we are
Sidelines AI is a coaching and team-management app provided by Kleyo LLC (“we,” “us,” or “our”). This policy describes information handled through the app and its connected features. Third-party websites, Apple services, and storage providers also have their own privacy policies.
2. Information on your device
The app stores information you enter, import, or generate to provide its coaching features. Depending on the features you use, this includes:
- Coach and team setup: contact details you enter, team name, sport, age group, gender category, league, city or region, language, and preferences.
- Player and game information: player names, jersey numbers, positions, availability, selected portraits, lineups, opponents, schedules, locations, scores, match logs, and notes.
- Practice information: sessions, locations, drills, notes, and timer settings.
- Private evaluations: player ratings and evaluation notes, stored separately in an encrypted vault protected by device authentication.
We use this information to display and save your plans, manage games and practices, and provide features you request. Entering an email address or phone number in your coach profile does not create an online account or automatically send those contact fields to our servers.
Optional AI assistance, access-code verification, backups, and sharing involve the transfers described below.
3. Optional AI coach assistant
When you start an assistant session, the app connects to the Sidelines AI backend, currently hosted at advertiz.ai, and to OpenAI’s Realtime API. These services support session access, voice transcription, responses, and coaching actions.
Information sent when a session starts
The backend receives an app-generated persistent installation identifier, a conversation identifier, language and session settings, and a snapshot of your coaching data. The snapshot can include your team profile, player names and roster details, games, lineups, scores, match events, notes, practice plans, locations, and drill information.
Information sent during the conversation
While the microphone session is active, audio streams to OpenAI for processing. Typed messages, coaching context, and results of assistant lookups or actions are also sent to OpenAI so it can respond. Replies return as audio and text. Voice processing is not limited to your device.
The automatically generated coaching snapshot excludes coach email and phone fields, player portraits, and private evaluation records. However, information you speak, type, or include in ordinary game or practice notes may be transmitted. Avoid putting sensitive information into these messages or notes unless you intend to share it with the assistant services.
Close the assistant session to stop microphone streaming. Clearing the visible conversation does not by itself request deletion from service providers. You can use core planning features without starting the assistant.
Backend storage periods, logging, deletion handling, processing locations, and provider-specific retention settings must be confirmed before this policy is published. This draft makes no promise of immediate deletion or zero retention for assistant data.
4. Optional permissions and imports
- Microphone: used during an active voice-assistant session. You can revoke permission in device Settings.
- Camera and selected photos: used for player portraits and lineup-card imports. Card text recognition runs on your device. Choosing a photo gives the app access to that selected item.
- Location: optionally used during setup to suggest your city or region. You can enter the area manually instead. Apple’s location and geocoding services may process the lookup. The app does not continuously track your location.
- Device authentication: used to unlock private evaluations. The app receives the authentication result, not your Face ID or Touch ID biometric data.
- Notifications, alarms, and Live Activities: used for game, drill, and break timers. Timer information may appear on your Lock Screen, where others with access to the device can see it.
- Files and schedule links: files you select are processed for imports or restores. When you request a schedule-link import, the app fetches that URL from its provider, which receives ordinary network information such as your IP address. This import does not require access to your Apple Calendar.
5. Purchases and access codes
Apple processes subscriptions and in-app purchases. The app uses purchase and entitlement information to unlock content and restore purchases. We do not receive your payment-card details through the app. Apple handles your payment information under its own privacy policy.
If server-verified access codes are offered in your version of the app, redeeming or verifying a code sends the email address you provide, the code, and a device vendor identifier to the access-code service. This information is used to check eligibility and manage access. The confirmed grant is stored in the device Keychain. The current app configuration does not enable the remote access-code service.
6. Backups, exports, and sharing
You can save a backup or select a folder for optional automatic backups through Files. That folder may be local or managed by iCloud Drive or another storage provider. Your chosen provider processes uploaded files under its own terms and privacy policy.
App-created backups contain the game library and profile information, and may include player portraits and contact details. Backup metadata includes the device name, team name, and creation date. The separate private-evaluation vault is not included in the app’s game-library backup. App-created backup files do not have a separate password-encryption layer.
When you export or share content, the selected app, service, or recipient receives the content you choose. Device-level backups may separately include local app data, depending on your Apple settings. Evaluation keys are device-protected and do not transfer to a different device.
Turning off automatic backups does not remove copies already saved. Use your storage provider’s controls to manage or delete those copies.
7. Retention and deletion
- Local app data: remains on your device until removed through available app controls or by deleting the app. Offloading the app can preserve its data. Keychain items may persist separately from the app’s ordinary files.
- App-managed backup history: the automatic backup process attempts to retain the ten newest matching backups in your selected folder. Manual exports, provider version history, and other copies may remain until you delete them separately.
- Assistant and backend data: deleting local data, stopping a session, or clearing the displayed transcript does not automatically delete data already transmitted to a backend or provider. The applicable retention schedule and request process remain to be confirmed before publication.
- Apple purchase records: are managed by Apple. Deleting the app does not cancel a subscription; manage subscriptions in your Apple account settings.
For information about data that may be held by Kleyo LLC or its service providers, use the contact route below. Please do not send full rosters, children’s photos, private evaluations, or payment information in an initial privacy inquiry.
8. Children’s information
Sidelines AI is intended for adult coaches and team organizers. Coaches may enter information about youth players. Only enter or share player information that you are authorized to handle, and obtain any permissions required by your team, organization, or applicable law.
Use particular care with names, portraits, notes, and recordings involving children. The assistant can transmit roster information when a session starts, even if your question does not mention a particular player. You can keep using local coaching features without enabling the assistant.
If you believe a child’s information was provided improperly, contact us so the issue can be reviewed.
9. Security and service providers
The app uses device protections, encrypted storage for private evaluations, and secure network connections for its configured remote services. No storage or transmission method can guarantee absolute security. Protect your device and any backup folders or exported files.
Connected features involve Kleyo LLC’s backend hosting and AI providers, Apple, and any import, storage, or sharing services you choose. Remote services necessarily receive connection information such as IP addresses. Their processing may occur outside your country; the applicable backend processing locations and safeguards require confirmation before publication.
The app does not integrate advertising networks or third-party analytics SDKs. This does not mean connected services receive no technical information or keep no operational logs.
10. Your choices and privacy rights
You can edit information using the app’s available controls, skip optional permissions, avoid the AI assistant, stop a voice session, disable automatic backups, and manage permissions and notifications in device Settings.
Depending on where you live and how your information is processed, you may have rights to request access, correction, deletion, a copy of your information, or restrictions on or objections to certain processing. You may also have the right to withdraw consent or raise a concern with a privacy regulator. Contact us to make an inquiry; we may need information to verify your request and identify the relevant records.
Kleyo LLC cannot directly access or delete files stored only on your device or in a personal backup account you control.
